Subject: Huddles for Main UB, Clin Spec, Residents
 
 
We have been holding Huddles in the same manner since the beginning of the COVID pandemic and it is now time to try a different approach. Our HRO training tells is that Huddles are the most important type of communication in any department and the training materials give us a brief glimpse of how Huddles should be run (attached). Here are a few of the changes you will see, beginning as early as THIS WEEK.
  • Huddles for Main UB, Clin Specs, and Residents will be held in-person each Wednesdaybeginning Wednesday, February 8, 2023
    • Time: 2:00 pm every Wednesday, lasting no longer than 30 minutes
    • Place: Bridge Classroom, first floor where the Blackwell Tower bridge connects to HHMain
    • Start: we will start promptly at 2:00 pm - please leave your work area in time to be there BEFORE the meeting begins (e.g., if you have a 1:00 pm meeting, you will likely need to leave it by 1:45 or 1:50 pm.)
    • Attendance: mandatory for UBs, Clinical Specialists, and Residents; others welcome
    • Format
      • The Wednesday meetings will not be Zoomed, since everyone listed above who is not involved in an EMERGENCY should be present
      • Each area should be prepared to pass along information that is of interest to the group in general or to those on the upcoming shift in particular - participation is expected
  • Beginning Monday, February 13, 2023 at 2:00 pm, daily Huddles (everyday except Wednesdays, but including weekends) will be held via Zoom (we will continue with the phone-in Huddles at 1:00 pm through this Sunday 2/12/23, giving everyone time to clear their daily schedules for 2:00 pm the following week and thereafter)
    • Everyone should sign on to the Zoom using either their computer or a cell phone
    • Your name should be displayed on the Zoom participant list (no phone #s) - this will allow us to know who is on the call
    • If you are in a 1:00 pm meeting, you should be prepared to leave by 1:50 pm so that you can attend Huddles
    • Participation is expected
Our hope is that this change in Huddles will bring us closer to the HRO model of Huddles and Safety Calls; in fact, if you have been on the daily HHS Safety Call, we hope that our Huddles will be similar. Wednesday in-person Huddles will be led by various members of the department leadership team, including the Director of Pharmacy and senior leadership, mangers, supervisors, leads, and others as appropriate (Med Safety, DI, Safety Coaches, etc.).

If you have questions about these Huddle changes, please let me know. Also, if you would like to listen to a HH Safety Call and hear for yourself the model to which we will be aspiring, please ask your supervisor or manager when you can sit in on a call with them.

More information to follow as we work out a few last-minute details.

  • Tue 2/7, Thur 2/9, Fri 2/10, Sat 2/11, Sun2/12 this week, Huddles via phone at 1 pm
  • Wed 2/8 this week - in-person Huddle in Bridge Classroom @ 2 pm
  • Next week: Huddles move to 2 pm daily with Wednesday Huddles held in-person.
