Considerations when Building Your Site
(Ten Steps to Creating the Best Site Possible!)

1. Meet with Marketing. What are your hospital’s branding requirements? Some are very particular about what we use. Can they provide us with:

·         Logo

·         Images

·         Preferred Pantone colors

·         Preferred fonts

Would your marketing department like to create a custom pharmacy logo (like a mortar & pestle) to use as an icon on all desktops as well as your intranet homepage? You could also use that same icon at the top of your FormWeb site’s left frame.

2. Determine important content for the pharmacy. Some ideas:

·         Joint Commission standards and policies

·         Formulary request forms

·         Critical policies & procedures

·         Drug information – Micromedex, Care Notes, oncology references and websites, Trissel’s IV Manage, shortages, drug-drug and drug-food interactions

·         Tools – calculators, dosing, conversion charts, clinical lab values, Identidex

Determine if you have any sensitive documents that should not be viewed by the general public. If so, we can work with you to make that possible.

3. Talk to Physicians about content they would use. Some ideas:

·         P&T committee agendas and minutes/bullets

·         Links to Micromedex, UpToDate and other drug information

·         Links to insurance formularies

4. Meet with the Nurse Managers. Ask them what the nurses use regularly that would be helpful to keep in FormWeb.  Suggestions:

·         Policies

·         Forms (non-formulary request, blank MAR, patient medication list, etc.)

·         Formulary additions & deletions (pulled from P&T minutes)

·         Order sets and protocols

·         Pyxis or Omnicell troubleshooting guide

An example of the power of asking people for input from the start:

Steve Klein of St. Joseph Hospital in New Hampshire became our customer in January, 2007. He picked ten nurses, asked them to write down ten items that they would like to find on the FormWeb site, and said he would return in a week for their answers. While he thought he knew what they would want, he was surprised by some of their suggestions, and used all of them. Within six months, the St. Joseph FormWeb site had over 10,000 hits!

5. Talk to people in Accounting. Show them a site which houses insurance information. Ask them what would be helpful for physicians to be able to access.

6. Talk with the people in IT. The only things they need to do will be:

·         Put a FormWeb icon on the hospital’s intranet homepage.

·         If you have any sensitive documents which only certain people should be able to access via FormWeb, ask IT for the protocol for putting them behind your firewall.

·         (That’s all. It really is that simple.)

7. Form an interdisciplinary team to help add content and get the word out. Start good word – of – mouth during rounds: “You will be amazed at the new tool we’ll be using soon!”

8. Think about organizing the site so that it will take no more than 3 clicks to get to whatever information a user would want.

9. Make the site available via multiple routes:

·         The hospital’s intranet home page

·         Icons on desktops or log-on pages

10.  Bookmark favorite FormWeb sites and go back to them at the first of each month to see what may have been added lately. Borrow content! (After all, “FormWeb is a community of pharmacists sharing best practices to improve the practice of pharmacy.”)
